Role Overview

The role is responsible for managing end-to-end onboarding processes, ensuring compliance with statutory requirements, maintaining accurate employee records, and supporting HR operations. This position plays a critical role in delivering a seamless employee experience while upholding organizational standards and regulatory compliance.

Key Responsibilities

1. Onboarding & Hiring

  • Validate new joiner documents to ensure statutory compliance and initiate flawless background verification (BGV).
  • Process hiring in SAP/HRMS, creating accurate employee records.
  • Maintain consistency and accuracy in employee master data through regular updates in system and internal trackers
  • Prepare appointment letters, obtain necessary approvals, and ensure timely handover to employees.
  • Conduct orientation sessions to familiarize new hires with company policies, tools, and culture.
  • Share statutory data with the payroll team for compliance and processing.

 

2. Background Verification (BGV)

  • Coordinate and manage the complete BGV process for new hires.
  • Liaise with third-party agencies and internal teams for checks (education, employment, criminal records, etc.).
  • Track BGV status, follow up on pending cases, and resolve insufficiencies or red flags.
  • Maintain a well-organized archive of BGV documents and regularly update the BGV Tracker for audit readiness.
  • Drive continuous improvement in BGV processes and documentation standards.

 

3. HR Operations & Compliance

  • Provide monthly salary data reports for new hires with detailed breakups and update P&C records.
  • Manage employee lifecycle activities including probation confirmation, PIP, and annual promotions.
  • Raise PO/PR requests for HR operations procurement and ensure timely vendor payments.
  • Share vendor payment details with Finance for accruals.

 

4. Digital Personal Filing

  • Scan and upload employee documents into SAP/HRMS and maintain organized digital records.
  • Conduct regular audits to ensure completeness and accuracy of employee documentation.

 

5. Attendance Management

  • Identify and resolve attendance discrepancies in collaboration with employees, managers, and payroll.
  • Ensure adherence to attendance policies and propose process enhancements.
  • Provide backend support for technical issues related to attendance systems and participate in automation initiatives.

 

6. Employment Letters

  • Maintain updated templates for various employment-related letters (e.g., Bonafide, Experience).
  • Verify employee details before issuing letters and ensure compliance with company policies.

Qualifications

Educational & Professional Qualifications

A. Educational Requirements

  • MBA in HR (preferred)
  • Bachelor’s degree in HR, Business Administration, or related field

B. Work Experience

  • 2 to 4 years of experience in People & Culture Operations
  • Must have handled end-to-end employee lifecycle

C. Skills & Competencies

  • Strong knowledge of HR processes, compliance, and statutory requirements
  • Proficiency in MS Office tools
  • SAP HR experience (preferred)
  • Excellent organizational and documentation skills
  • Ability to manage multiple priorities and meet deadlines
  • Strong communication and stakeholder management skills
